Administrative Program Specialist - HealthcareJoin a dynamic healthcare team in the Pacific Northwest as an Administrative Program Specialist. This full-time temporary role focuses on coordinating and managing administrative tasks related to patient care within a specific clinical service line. You will be the primary contact for patients, assisting with appointment scheduling, providing information about clinical services and insurance, processing referrals, and ensuring a smooth patient experience.Key ResponsibilitiesSchedule appointments, consultations, and follow-ups for patients within assigned service lines.Collaborate with patient access, providers, technicians, and clinical staff to optimize scheduling and resource use.Communicate appointment details and preparation instructions clearly to patients.Serve as an expert on patient access workflows, addressing inquiries and providing information.Manage referrals, authorizations, insurance verifications, and pre-certifications, ensuring documentation is complete and up to date.Support department initiatives including waitlist management and special projects.Maintain accurate and confidential patient records.Follow up with patients regarding test results, orders, and questions.Perform duties in compliance with policies, procedures, and regulatory standards, consistently delivering excellent service.Education and ExperienceHigh school diploma or equivalent required; Associate Degree preferred.At least 2 years of experience in a healthcare setting, ideally in patient access or related functions.Familiarity with medical terminology and insurance processes including verification and claims submission.Proficiency with electronic medical records (EMR) systems and office software.Skills and AbilitiesStrong organizational skills with the ability to prioritize and adapt to changing demands.Excellent written and verbal communication skills tailored to diverse audiences.Advanced proficiency in Microsoft Office applications.Ability to handle confidential information with discretion and maintain accurate documentation.Team-oriented with strong interpersonal skills, able to remain calm and professional in fast-paced environments.Independent problem-solving and sound judgment to complete tasks efficiently.Physical RequirementsIncludes occasional lifting and carrying of items up to 35 lbs, frequent sitting, standing, walking, bending, and stooping. Normal vision, hearing, and speech capabilities are required.Work EnvironmentThis position operates on an 8-hour shift schedule within a healthcare setting serving the Pacific Northwest region.
