This role is responsible for supervising Administrative Coordinators and ensuring the effective execution of departmental administrative processes, including purchasing and tracking, headcount management, training compliance, onboarding, attendance management, inventory control, departmental communications, process data collection, and safety compliance activities.
The position serves as a key liaison between production, support functions, and leadership teams, ensuring operational efficiency, data accuracy, and administrative excellence in a fast-paced manufacturing environment.Essential Duties:Functional Leadership & OperationsLead the daily activities and performance of Administrative Coordinators, ensuring efficient execution of administrative and operational support functionsOversee purchasing processes and tracking of departmental consumables, supplies, and equipmentManage headcount tracking and reporting to support workforce planning and organizational needsCoordinate and monitor SMT training records and compliance requirementsOversee new hire onboarding activities, orientation processes, and administrative support for employee integrationManage attendance tracking and reporting processes to ensure accurate workforce dataOversee inventory management activities for departmental administrative and operational resourcesEnsure timely collection, maintenance, and reporting of process and operational dataPrepare and distribute recurring operational reports, workforce metrics, and business updates for production leadershipSupport scheduling, calendar coordination, meeting planning, and administrative activities for production leadership as requiredMaintain department rosters, employee records, and other administrative documentation with a high degree of accuracyStrategic Alignment & Continuous ImprovementIdentify opportunities to improve administrative processes, workflows, and reporting systems to enhance efficiency and effectivenessDevelop and implement standardized administrative procedures and best practices across assigned areasMonitor departmental budget expenditures and provide tracking and reporting support to leadershipAnalyze operational and workforce data to identify trends, opportunities, and corrective actionsSupport department initiatives and projects by coordinating resources, timelines, and administrative requirementsTeam Development & Knowledge SharingEstablish performance expectations and goals for Administrative Coordinators and provide regular coaching and feedbackSupport employee development through training, mentorship, and knowledge sharingEnsure team members are trained on administrative systems, processes, policies, and proceduresPromote a culture of accountability, continuous learning, teamwork, and customer serviceCross-Functional Collaboration & Stakeholder EngagementCollaborate with Production, Human Resources, Training, Safety, Finance, Procurement, and other support functions to achieve departmental objectivesServe as the primary coordinator for departmental communications, ensuring timely dissemination of operational updates, organizational announcements, and leadership communicationsCoordinate meetings, prepare agendas, compile presentation materials, and communicate action items to stakeholdersFacilitate communication between administrative staff and production leadership, escalating concerns and supporting resolution effortsSupport cross-functional initiatives, Requests for Approval (RFAs), training requests, work orders, and other administrative projectsQuality, Safety, Compliance, & Risk ManagementEnsure compliance with company policies, administrative procedures, attendance requirements, and documentation standardsMonitor and support 6S compliance activities within assigned areasAdminister PPE distribution processes and support compliance with established safety requirementsHandle sensitive and confidential business information with discretion and professionalismPromote a safe work environment and ensure adherence to applicable safety, quality, and regulatory requirementsSupervisory ResponsibilitiesProvide direct supervision to Administrative Coordinators, including work assignment, performance oversight, training, and adherence to safety and operational standardsMonitor attendance trends and partner with leadership and Human Resources to address attendance-related concerns and reporting requirementsConduct performance reviews, coaching discussions, employee development planning, and corrective action processes as neededManage staffing, workload distribution, scheduling coordination, and team performance metricsFoster employee engagement, teamwork, accountability, and continuous improvement within the administrative support teamPersonal Protective Equipment (PPE) Requirements: To ensure the health and safety in the workplace and for the protection of our employees, wearing PPE is a possibility and may include equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit that includes a respirator.Qualifications Requirements -
