Position Overview
Ultimate Staffing is seeking a detail-oriented and organized Administrative Coordinator to support a growing department focused on community programs, outreach initiatives, and regulatory processes. This role will be responsible for coordinating administrative functions, assisting with special events, supporting permitting activities, and serving as a key point of contact for internal and external stakeholders.
The ideal candidate is highly organized, possesses excellent communication skills, and is proficient with Microsoft Office and other standard office software. Key Responsibilities
Coordinate administrative activities and departmental projects.
Assist with planning, organizing, and supporting special events and community outreach programs.
Support permitting and approval processes, including tracking applications and maintaining records.
Prepare correspondence, reports, presentations, and other business documents.
Maintain accurate files, databases, and records.
Respond to inquiries from residents, businesses, contractors, and other stakeholders.
Schedule meetings and assist with departmental communications.
Monitor deadlines and ensure timely completion of assigned projects and tasks.
Provide general administrative support to department leadership and staff.
Qualifications
High school diploma or equivalent required; associate degree preferred.
Previous experience in administrative support, office coordination, permitting, event planning, customer service, or related fields preferred.
Strong written and verbal communication skills.
Excellent organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Ability to prioritize tasks and work independently in a fast-paced environment.
Strong attention to detail and problem-solving skills.
