Administrative Coordinator (Case Management)Location: Los Angeles, CA 90017 Duration: 13 Weeks / 3 Months Shift: Day Shift (8:00 AM – 4:30 PM) Schedule: Weekends (Saturday & Sunday) + potential weekdays Par XXXX: XXXXXXXXXXX/hrImportant NoteCandidate must be available Monday–Friday during initial training/orientation period.Post-training schedule will primarily be weekends (Sat & Sun).Position SummaryThe Administrative Coordinator provides clerical and operational support to the Case Management team. This role assists with discharge planning, care coordination, financial assessments, and ensures smooth transitions for patients during and after hospitalization.Required SkillsBasic computer proficiencyKnowledge of medical terminologyStrong verbal and written communicationCritical thinking and problem-solving skillsEducation & ExperienceRequired:High School Diploma or equivalentPrevious experience in a medical/healthcare settingLA City Fire Card (required within 6 months of hire)Preferred:Bachelor’s DegreeKey ResponsibilitiesDischarge Planning & CoordinationParticipate in daily Case Management meetingsCoordinate referrals, documentation, and follow-upsArrange DME, medications, and transportation for dischargeEnsure completion of all discharge plansPerform clerical tasks (faxing, calls, documentation)Financial & Insurance SupportVerify insurance and benefits coverageAssist with financial assessments and referralsSupport disability applications and reimbursement processesMaintain knowledge of payer guidelines and reimbursement practicesCase Management SupportCollaborate with RN and Social Work Case ManagersAssist with admissions, transfers, and discharge documentationTrack frequent admissions and notify care teamsSupport utilization review and insurance communicationsPatient & Family SupportAssist with education and documentation under supervisionSupport advance directive documentationReport relevant patient information to Case Management teamAdministrative & Compliance DutiesMaintain HIPAA compliance and patient confidentialityEnsure adherence to safety and hospital policiesAssist with legal reporting and documentation when requiredCollect and enter data related to case management metricsAdditional ResponsibilitiesSupport pre-certification and insurance authorization processesCoordinate communication with third-party payersAssist with denial management and appeals
