Administrative CoordinatorNorthern Ohio Recovery Association (NORA), a nonprofit organization dedicated to promoting long-term recovery and wellness through peer-based support and evidence-based services, is seeking a highly organized and proactive Administrative Coordinator. This role serves as a central coordination point between executive leadership, intake services, and front desk operations. The Administrative Coordinator ensures smooth communication, efficient intake flow, and professional front office support while assisting C-suite leadership with scheduling, coordination, and administrative priorities.
This position is expected to model professionalism, recovery principles, and prosocial behavior in all interactions.Key ResponsibilitiesProvide direct administrative support to C-suite leadership, including calendar management, meeting coordination, and follow-up trackingPrepare meeting materials, agendas, and assist with internal communicationsCoordinate cross-department communication to ensure alignment on priorities and initiativesTrack action items and support leadership in maintaining accountability across teamsSupport and coordinate intake processes, ensuring timely response to inquiries and referralsServe as a liaison between intake staff, program teams, and leadershipTrack intake flow, pending admissions, and follow-ups to ensure no gaps in service accessAssist in maintaining organized intake documentation and communication logsServe as primary or backup front desk support as neededGreet clients, visitors, and partners in a professional and welcoming mannerAnswer and route incoming calls; manage voicemail and general inquiriesEnsure a positive, respectful, and recovery-oriented environment at the front officeAct as a central point of communication between departments, ensuring timely information flowAssist in coordinating schedules, meetings, and program-related activitiesSupport internal communication efforts to improve efficiency and reduce gapsMaintain organization and readiness of front office and shared spacesCoordinate mail, deliveries, and basic office logisticsMonitor and maintain office supplies as neededMaintain confidentiality of client and organizational informationEnsure accurate and timely documentation of intake and administrative processesSupport adherence to organizational policies and proceduresPerform other duties as assigned to support organizational capacity and mission delivery.QualificationsAssociate's or Bachelor's degree in Business Administration or related field preferredMinimum of 2–4 years of administrative, intake coordination, or front office experienceExperience supporting leadership and/or multi-department coordination preferredStrong organizational and time management skillsExcellent verbal and written communication skillsHigh attention to detail and ability to manage multiple prioritiesProficiency in Microsoft Office (Outlook, Word, Excel)Ability to work independently and collaboratively in a fast-paced environmentPreferred SkillsExperience in behavioral health, healthcare, or human services settingsExperience coordinating intake, admissions, or client-facing workflowsStrong customer service and conflict resolution skillsAbility to manage high-volume communication and prioritize effectivelyExperience working with confidential information and maintaining discretionAbility to anticipate needs and proactively support leadershipStrong documentation and tracking skillsAbility to model recovery-oriented principles and maintain a professional, welcoming presenceCompensation & BenefitsCompetitive salary commensurate with experience.Health, dental, and vision insurance.Paid time off and holidays.Professional development opportunities.Amount of TravelMinimal, mostly confined to the Ohio Area.Salary RangeThis is a paid position and salary will be rated based on experience.
