Our ideal team member is passionate and progressively seeking more responsibilities to expand their expertise.Responsibilities include:Provide flexible day-to-day office support, proactively assisting with administrative, reception, facilities, and team needs as they ariseHelp maintain a clean, organized, and welcoming office environment for employees, clients, visitors, and vendorsServe as the primary receptionist for the office, greeting visitors, answering the door, directing guests to the appropriate area or person, and creating a professional, welcoming experienceSupport visitor procedures, including maintaining sign-in/sign-out documentation and coordinating visitor notifications, building access, and badges as neededProcess expense statements for office leaders, including officer expense reporting support as requestedProvide calendar, travel, and administrative support for designated senior leaders, as neededCoordinate meeting logistics, including agendas, sign-in sheets, conference room reservations and setup, catering, refreshments, and post-meeting cleanupMaintain conference room readiness before and after meetings that require setup, ensuring spaces are cleared of meeting and presentation materials and prepared for the next useSupport general office calendar needs, including office-wide meetings, events, visitor activities, and community initiativesPlan, coordinate, and assist with setup for office-wide social events, Lunch-and-Learns, All Staff Meetings, and other office gatheringsSupport local onboarding coordination for new hires, helping ensure first-day logistics are prepared and the employee feels welcomed and oriented to the team and officePrepare routine correspondence and other administrative documents as requestedAnswer and screen telephone calls and arrange conference callsManage incoming and outgoing mail, courier services, package deliveries, and related distribution to appropriate staff membersOrder, receive, inventory, and restock office, mailroom, supply room, kitchen, pantry, coffee, beverage, and related suppliesHelp maintain kitchen and shared spaces, including loading, unloading, and starting dishwashers; wiping counters; and keeping supplies stockedCoordinate with building management on maintenance requests, building tickets, alarms, loading dock access, and related office needsMaintain the materials resource library, including scheduling vendor visits, greeting vendors, and cataloging, organizing, and maintaining library materialsProvide additional administrative support for office meetings, communications, and other day-to-day office needs as assignedQualifications include:This role is an in-office positionStrong organizational and communication skills, with high attention to detail and a "can-do" attitudeAbility to multitask, manage competing priorities, and adapt to changing office needsBachelor's or Associate degree preferred, along with 4+ years' experience; or an equivalent combination of education and experienceProficient Microsoft Office skills required, including Outlook, Word, PowerPoint, and ExcelPersonable, engaging, and service-oriented, with a genuine interest in supporting people and creating a positive office experienceComfortable interacting regularly with employees, clients, visitors, vendors, suppliers, and building management contactsProactive and flexible, with a willingness to step in and help with a variety of office, reception, facilities, and team needsPrior experience in a people-facing administrative, office services, or receptionist role is preferredAbility to occasionally flex schedule to support early meetings or after-hours office events, as neededThis position is designated as full-time on-site and requires the employee to be physically present at the assigned office location Monday through Friday during standard business hours.
