This role is responsible for managing front office operations, coordinating office resources and inventory, supporting company communications and marketing initiatives, and assisting with a variety of administrative tasks that contribute to the efficient operation of the organization. The ideal candidate is highly organized, professional, and capable of balancing a variety of responsibilities while helping ensure the office operates efficiently.Role and ResponsibilitiesInventory, organize, and distribute company gear, apparel, promotional items, and swag; maintain accurate inventory records and coordinate reorders as neededMonitor office and safety supply levels and coordinate purchasing to ensure adequate inventory is maintainedAssist with company marketing efforts by drafting website project updates, social media content, employee announcements, and other internal and external communicationsGreet visitors, clients, vendors, and employees in a professional and welcoming mannerAnswer, screen, and direct incoming phone calls and inquiriesMaintain a clean, organized, and professional office environment, including conference rooms, reception areas, kitchen spaces, and restroomsMaintain and organize electronic and physical filing systems; update records and request information from employees, clients, and project teams as neededAssist with scheduling meetings, preparing meeting materials, and coordinating logisticsSupport the planning and execution of company meetings, trainings, celebrations, community eventsCoordinate conference room schedules and assist with meeting setup and cleanupManage incoming and outgoing mail, packages, and deliveriesMaintain company contact lists, distribution lists, and organizational recordsAssist with data entry, document preparation, formatting, and administrative reportingSupport company leadership and departments with special projects and administrative tasks as assignedLearn and effectively utilize company software and communication platforms, including Outlook, Procore, Microsoft Office, and other business systemsMaintain confidentiality when handling sensitive company and employee informationBill all project-related hours worked to the appropriate project(s)Perform any other task(s) requested by CCIHiring RequirementsTwo or more years of administrative experienceDependable and timelyProficiency in MS Office with expertise in Microsoft Word, PowerPoint, and ExcelAbility to work in a fast-paced office environmentExceptional written and verbal communication skillsGood critical thinking and attention to detailSuperior organization and problem-solving skillsGood calendar managementExcellent time managementAbility to prioritize work and dedication to completing projects in a timely mannerAbility to analyze and revise operating practices to improve efficiencyValid Driver's License and dependable transportationPhysical RequirementsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.Able to see, talk, and hearAble to stand, walk, reach with hands and arms, and use hands to finger, handle, and typeAble to occasionally push, pull, lift, and/or carry supplies up to 25 poundsAble to perform physical and repetitive motionsAdditional Training/CertificationThe following certifications are required for this position. The hourly pay range is $20-$30 depending on qualifications and experience. The typical schedule will be Monday-Friday, 8am-1pm, with occasional weekend/evening hours required. You must be employed during the entire quarter to be eligible for that period.
