Administrative Assistant / Office ManagerThe Progeria Research Foundation is a busy, growing non-profit organization located in Peabody, MA that seeks a part-time, highly motivated, organized Administrative Assistant / Office Manager.The Progeria Research Foundation (PRF) is the only organization in the world dedicated to discovering treatments and cure for Progeria, through medical research, outreach and education. Progeria is a rare, fatal "rapid-aging" disease that afflicts children worldwide who, without treatment, die at an average age of 14.5 years. PRF has been the driving force behind every scientific milestone, including the Progeria gene discovery and the first-ever Progeria drug treatment.

The ideal candidate must be able to independently multi-task effectively, have excellent verbal and written communication skills, the ability to exercise good judgment in a variety of situations, and strong organizational skills.ResponsibilitiesThis role includes, but is not limited to, the following responsibilities:Administrative assistance with events and mailingsCoordinate logistics and assist with distribution of materials for quarterly meetings of the Board of Directors and Organizational Committees, as well as office business meetings held in the conference roomMaintain efficient office operations, including monitoring and maintaining office supplies inventory, ensuring adequate office maintenance, and coordinating phone coverageManage and maintain the office calendar, tracking staff meetings and employee work schedulesServe as the first point of contact for all outside calls and inquiriesCoordinate bi-weekly staff meetingsDesign and implement filing systems, and ensure filing systems are maintained and currentManage and coordinate volunteers for mailings and other office projectsPick up mail from the post office, open, sort, and distribute incoming correspondence, and manage and prepare all outgoing mailDraft and otherwise manage general communications as neededProvide assistance to colleagues and contribute to team effort through other tasks as neededQualificationsThree to five years of experience providing administrative or office management supportExcellent verbal and written communication skillsStrong organizational skills and attention to detailProficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and video conferencing software (Zoom, Teams)Associate or bachelor's degree preferredAvailability during core business hours (approximately 9:00 AM – 3:00 PM, M-F)Compensation & BenefitsThis is a part-time, hourly position with a pay rate of $25–$28 per hour, commensurate with experience.Benefits include:Sick time in accordance with Massachusetts lawHealth insurance — employees working a minimum of 20 hours per week are eligible to participate in PRF's group health planRetirement plan — eligible employees may participate in PRF's retirement plan with employer match beginning in 2027, subject to meeting minimum eligibility requirements
