Administrative Assistant IThe Administrative Assistant I is responsible for providing administrative support within Departmental and Macon-Bibb County procedures and guidelines.Essential Duties and ResponsibilitiesAssists in all forms of clerical and receptionist duties.Composes letters, reports, notices, and inter-office memorandums.Creates Service Requests for Code Enforcement from See-Click-Fix complaints.Assists citizens and customers in interpreting departmental policies.Receives public complaints with service problems and initiates referrals.Answers phone for department and direct callers to correct division.Provide superior customer service.Receives and logs incoming mail for all divisions.Register and Deregister Vacant and Foreclosed Property.Process Re-Inspection fees for Code Enforcement.Maintains Department files.Maintains office equipment.Maintains inventory of supplies.Prepares a variety of reports.Completes special projects and performs miscellaneous duties as required.Education, Training and ExperienceThe Administrative Assistant I should possess, at a minimum, a High School Diploma or GED equivalent and four (4) years of administrative support or experience working in an office environment; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position.Necessary Special Requirements:Must pass the ADVANCED level of the Macon-Bibb County skills test.Must be able to type 35 wpm.Possession of a valid Georgia Motor Vehicle Operator's LicenseKnowledge, Skills, and AbilitiesThe Administrative Assistant I must be knowledgeable of the following principles, procedures, and concepts:Knowledge of the principles and practices of local government administration.Knowledge and proficiency of personal computers, word processing and database programs, including the Microsoft Office Suite, internet, and e-mail services.Ability to write clear and concise reports, memoranda, and letters.Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.Ability to meet the public and to discuss problems and complaints tactfully, courteously, and effectively.Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information.Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the general public.AN EQUAL OPPORTUNITY/AFFIRMATIVE ACTION EMPLOYERBenefitsMedical / Dental / Vision plansPrescription coverageDiscounted Fitness centersDeferred Compensation PlanFlexible Spending Account(s)Employee Assistance ProgramAnnual/Sick LeaveGroup Life Insurance401-A Retirement Contribution Plan - Matches up to 5%
