This is a hands-on role requiring strong initiative, judgment, and follow-through, with responsibility spanning office operations, travel, events, vendors, employee support, and general administration. The successful candidate will work closely with the local administrative team and Global Administrative and Facilities Manager and may take on broader responsibility for coordinating local administrative priorities and providing day-to-day guidance to the team.ResponsibilitiesSupport day-to-day office operations and proactively address administrative and workplace needs as they ariseEnsure the kitchen, meeting rooms, shared spaces, and office supplies are organized, stocked, and ready for employees and visitorsCoordinate office lunches, catering, food and beverage supplies, and other workplace needsManage relationships with office vendors, maintenance providers, building management, and other service partnersArrange domestic and international business travel, including flights and hotels, through Navan and other booking channels as neededAssist employees with visa-related matters and travel documentationCoordinate internal meetings, employee events, special projects, and external events or conferencesProvide administrative and operational support to executives and employees as neededCoordinate invoices, expenses, purchase documentation, and related administrative recordsSupport employee onboarding, including workplace preparation and office access arrangementsPartner with the Office Coordinator and Global Administrative and Facilities Manager to coordinate administrative and workplace responsibilitiesHelp organize and prioritize the work of the local administrative team, providing day-to-day guidance and follow-up as neededIdentify opportunities to improve administrative processes, clarify responsibilities, and increase efficiencyProvide coverage and support across administrative responsibilities during absences, busy periods, or special projectsTake ownership of assignments and follow them through to completion with limited oversightExperience & Qualifications5+ years of experience in an administrative assistant, executive assistant, office administration, workplace operations, or similar rolePrior experience serving as a lead administrative resource is preferred; supervisory experience is a plusStrong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environmentProactive, hands-on approach with a willingness to handle both routine administrative responsibilities and more complex assignmentsStrong interpersonal and communication skills with the confidence to work effectively with executives, employees, vendors, and external partnersDemonstrated initiative and ability to identify and address needs without requiring detailed directionStrong judgment, discretion, and professionalism when handling confidential or sensitive mattersExcellent attention to detail with a high level of accountability and follow-throughCollaborative and team-oriented approach with flexibility to support responsibilities across the administrative functionStrong problem-solving skills and ability to independently resolve issues or escalate them appropriatelyProficiency in Microsoft Office; experience with Navan or similar travel and expense platforms is a plusExperience supporting a global or multinational organization is a plus
