Administrative Assistant, Global Situational (NY/CT)Our client is looking to fill the role of Executive Assistant.Location: Midtown Manhattan, NYCSchedule: HybridExperience: 3–6+ yearsIndustry: Financial Services / Investment ManagementSalary: $95,000-120,000Responsibilities:Provide high-level administrative and executive support to senior investment professionals and/or a founderManage complex calendars, scheduling, meetings, and competing priorities across multiple time zonesCoordinate domestic and international travel, including flights, accommodations, transportation, and detailed itinerariesCoordinate meetings and communications with investors, clients, executives, vendors, and other external stakeholdersPrepare meeting materials, agendas, presentations, correspondence, and other documents as neededTrack follow-up items, deadlines, and action items to ensure timely executionManage expenses and other day-to-day administrative responsibilitiesMaintain CRM systems, contact databases, files, and other internal resourcesAssist with events, conferences, meetings, and other firm activitiesSupport recruiting coordination, onboarding, and general office operations as neededAssist with special projects and time-sensitive initiatives across the firmHandle confidential and sensitive information with a high degree of discretionServe as a reliable resource to the broader team and provide support wherever neededIdentify opportunities to streamline processes, improve efficiency, and make the executives and team more effectiveTake ownership of projects and responsibilities beyond traditional administrative tasksBe available to assist with time-sensitive matters outside of standard hours when neededRequired Qualifications:3–6+ years of experience in financial services or a comparable high-touch professional environmentExperience supporting senior executives, investment professionals, founders, partners, or other high-level professionalsBackground in financial services, investment management, private equity, hedge funds, investment banking, wealth management, consulting, or similar industries preferredStrong experience managing complex calendars and schedulingExperience coordinating domestic and international travelExceptional organizational skills and attention to detailExcellent written and verbal communication skillsHighly polished and professional presenceStrong judgment, discretion, and ability to handle confidential informationAbility to manage multiple priorities, shifting deadlines, and a fast-paced workloadStrong follow-through and ability to independently track and execute action itemsProficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPointTech-savvy and comfortable learning CRM platforms and other firm-specific systemsSelf-starter who is comfortable working independently and taking ownershipResourceful, solutions-oriented mindset with the ability to see a problem and figure out how to solve itComfortable operating in an entrepreneurial environment where priorities can change quicklyTeam player who is willing to jump in and assist with responsibilities outside of a traditional EA scopeInterested in building a long-term career within a sophisticated investment management environmentIf you meet the required qualifications and are interested in this role, please apply today.The Solomon Page DistinctionOur teams, comprised of subject matter experts, develop an interest in your preferences and goals and we act as an advisor for your career advancement.
