Job Description

Under general supervision, performs responsible and varied administrative assistant work that permits some choice of procedures and some independence of actions in the disposition of routine matters, as it relates to Financial Aid.

Examples of Duties

A. Serves as the primary support for the financial aid front desk which includes performing customer service duties; answers telephone, greets visitors, arranges appointments, and directs telephone and personal callers to proper parties; schedules room reservations and related activities; may disseminate department or institution information; responds to inquiries, problems, and concerns from staff, students, and visitors; anticipates and initiates actions regarding departmental operations; and receives, sorts, opens, stamps, and distributes incoming mail. B. Counsels students when completing federal student aid and Veteran Affairs applications and paperwork. C. Assists with preparing files received and monitoring Title IV variance D. Maintains forms, documents, and student financial aid files in Colleague and institutional network. Provides insight as it pertains to communication management. Responsible for scanning student financial aid records and their disposal policies. E. Assists in the organization of the return of funds process by preparing attendance memos and managing correspondence between faculty, staff, and students F. Collaborates with the KCC Foundation on entering and monitoring scholarship awards. G. Prepares and presents information for financial aid events, including Financial Aid information nights, student orientation, and financial literacy workshops. H. Supervises and trains student workers. I. Manages inventory and ordering of supplies along with any purchase orders needed by the Office of Financial Aid. J. May take and transcribe brief dictation and minutes of meetings.

Minimum Qualifications

A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required; additional specialized and technical training courses preferred. B. At least one to three years of related work experience required. C. Computer experience using Microsoft Office or comparable applications required. Able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets; able to merge documents; able to create and use labels with envelopes; able to create, format, and edit tables, graphs, and charts. D. Excellent oral and written communication skills required. E. Demonstrated proficiency in English required. F. Ability to communicate in other languages desirable.

Supplemental Information

Hiring range: $16.13/hr. min. - $17.74/hr. 1st quartile - $19.35/hr. mid. Work schedule: between the hours of 8 a.m. - 5:30 p.m. May work evening and weekend hours, as needed.
