Field Safety Administrative AssistantZACHRY is currently accepting applications for a Field Safety Administrative Assistant for new construction work. This position will conduct clerical or administrative duties as assigned to our Safety Department. Responsible for physical and electronic documents as well as creating official business memorandums and letters to support construction operations.
This position will be responsible for running reports, and entering, and issuing receipts. May work various hours as needed.ResponsibilitiesPosition ResponsibilitiesKnow and understand recordkeeping requirements of Safety and employee related documents. Maintain confidentiality.Office Filling/Scanning - Log training documents into a cyborg, training matrix, Feith,ASAP.Maintaining and verification of documents associated with training, permits and audits.Schedule crane medical examinations, compliance Training,Sharing weekly/monthly training schedules.Notify FEDEX when specimen samples are ready for pick up.Sharing daily weather updates/ lightning alerts.Collaborating with other departments in the development of project related informational and training packetsData entry and tracking of various safety programsOffice/First Aid Supplies orders through Oracle.Attend supervisor meetings/safety committee meetings as a note-taker and share notes.Ability to learn other skills and dutiesWillingness to take on different levels of responsibilityInteracting with employees, different levels of supervision and managementQualificationsRequired Knowledge, Skills, and AbilitiesHigh School Diploma or equivalentPrevious professional work experience in a clerical or administrative positionAble to work varying hours as required to support construction operationsGood interpersonal skillsData Entry AccuracyData Entry SpeedGrammar UsageDependable, punctual, and excellent attendanceHigh attention to detailOrganization and time managementMust have good problem-solving abilitiesGood Reading ComprehensionEffective verbal and written communication skills; ability to communicate with different levels of the organization including our clientAbility to work with others – team player including good communication skills with co-workers and supervisorsAbility to meet deadlines in a timely manner.Ability to adapt to changes quickly.Ability to build effective relationships, field knowledge, and great communicatorMust be proficient in various Microsoft applications.
