Administrative Assistant / Federal ProgramsReports to: Director of Federal ProgramsLocation: Student Services CenterPosition: Classified Contract Days: 261 Days Retirement: TRS FLSA Status: Non-Exempt Pay Scale: Support Staff A (A10)Minimum Requirements:Education: High School Diploma or GEDExperience: A reasonable degree of proficiency in computer applications including spreadsheet, data base and word processing. Working knowledge of basic office procedures and the operation of common office equipment and machines.Skills, Knowledge, and Abilities:Written and oral communication skills; ability to operate office machinery and deal with multiple tasks; computer competence; typing and proof reading skills; pleasant personality; cooperative attitude; skills in accounting.Primary Function:To perform responsibilities of the Federal Programs department and maintain a good working relationship with the Board of Education, all school personnel and the general public.Performance Responsibilities:Perform basic office tasks including keyboarding, copying, mass mailing, and filing, operating standard office equipment and a computer using Microsoft Word applications (e.g. Word, Excel, PowerPoint, etc.) and experience with Power School and EllevationAssist in the analysis and management of student and school dataAssist the organization and development of program audit and monitoring visitsCoordinate data collections required by State Department of Education and assure deadlines are metCreate and compile online surveys as requestedAnalyze financial data, reconcile accounts, and prepare reportsPrepare and maintain time and effort files, documentation and logsComplete requisition requests and purchase ordersObtain quotes, order merchandise, ensure delivery, compile billing documentsCompile and maintain Federal Programs inventoriesArrange travel for various Federal Program's training and conferencesParticipate in appropriate training, workshop, and in-service programsPerform all work duties and activities in accordance with District policies, procedures and safety practicesUse interpersonal skills, and have organizational skills, personal initiative, verbal and written skills, strong work ethic and professional demeanor; ability to manage multiple priorities and willingness to continually learn new information and skills is necessaryObserve District policies and proceduresEstablish and maintain effective working relationships with students, parents, teachers and staff members, and other District personnel; the ability to work in a team environment with a focus on issues of equity, access and instructional intensity for improved student achievementPerform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely mannerPerform time management and scheduling functions, meet deadlines, and set task prioritiesWork independently and with a team to maintain a clean, appropriate, and friendly work environmentInteract with students, parents, staff, faculty, and administration effectively and professionallyFollow oral and written instructions and observe District, State, and federal policies and procedures.

Follow all Board-approved policies, safety rules, and regulationsAttend in-services and training sessionsRespect and practice confidentiality both in and out of school with regard to records, activities, and communications relating to all students, parents/guardians, and staff.Performs other duties as assigned by the Federal Programs
