Administrative Assistant ISupports the mission, core values and customer service of Home Dialysis Services & Dialysis Care Center, LLC (HDS/DCC). Adheres to the HDS/DCC Policies and Procedures and Compliance Program including all state and federal regulatory requirements. The Administrative Assistant I is responsible for providing administrative support to ensure efficient operation of the Corporate office through a variety of tasks related to organization and communication.Primary duties/activities include:Booking and coordinating travel accommodations for traveling employees.Responsible for credit card purchases & allocating charges to the proper entity.Responsible for entering credit card charges into the Certify system and sending the monthly report to the Finance department.Uploading new hires to Gaia & Ascend.Creating and updating DCC Agenda for weekly facilities calls.Generate reports, including but not limited to GAIA.Maintaining agreement binders for all DCC & HDS entities.Maintaining CLIA certificates.Responsible for the coordination of the execution of the Backup Facility agreements and filing into LaserficheUploading Laserfiche documentsWeekly Mortality Review reportResponsible for managing all IT requests and coordinating the approval process.
Forwarding IT approvals to IT Manager.Assisting Manager with the DCC Dashboard, including new facility checklist, CMS tracker, and MDA tracker.Answering phones and routing calls appropriately.Setting up meetings and sending out calendar invitations.Take accurate minutes of meetings.Responsible for Envi orders/ Amazon purchases and allocating the charge to the correct entity.Providing general administrative support to various departments.Carry out administrative duties such as filing, typing, copying, binding, scanning etc.Greet and assist visitors to the officeMaintain computer filing systems.Cover the reception desk when required.Other duties, as assignedEducation: Associates degree is required. A bachelor's degree is preferred.Experience and required skills:Must be PC proficient and able to thrive in a fast-paced setting; experience in Microsoft Office Suite: Outlook, Word and Excel a mustGood presentation & communication skillsMust be productive & resourceful with the ability to meet deadlinesPreferred Administrative and clerical experience in a similar capacity is requiredOther qualifications:Must be a self-starter who can work independently yet function in a highly collaborative, fast-paced team environment.Ability to multi-task, work under pressure and meet deadlines effectivelyExcellent written and oral communication skillsStrong data entry, organizational and interpersonal skillsHigh integrity, team player with patient service focus and flexibilityCustomerservice:Responsible for supporting the values and customer service standards of HDS/DCC.Accountable for outstanding customer service to all staff, clients and vendorsDevelops and maintains effective relationships through effective and timely communication.Initiates action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.Physical demands and working conditions:Day to day work includes desk and personal computer work and interaction with prospective and current clients. The position requires travel between assigned facilities and various locations.
Travel to scheduled staff meetings may be required.The work environment is characteristic of a health care facility with air temperature control and moderate noise levels.Must be able to lift 30 pounds as needed.
