Administrative AssistantOur client is a professional, collaborative, and research-focused organization within the nonprofit and higher education/education research space. The team is highly educated, collegial, and collaborative, with this position providing administrative support to a team of up to seven individuals.Our client is seeking an experienced Administrative Assistant to provide high-level administrative support to an Assistant Vice President (AVP) and research team. This role will serve as a trusted administrative partner to the AVP, ensuring calendars, meetings, travel, communications, and day-to-day priorities are managed efficiently and professionally.This position requires someone who can anticipate needs, identify potential conflicts before they arise, and keep the AVP informed of important deadlines, commitments, and developments.

The Administrative Assistant will interact with senior executives, college presidents, community leaders, donors, staff, and external partners, making professionalism, discretion, and strong communication skills essential.Key responsibilities include:Provide comprehensive calendar management for the AVP, including prioritizing requests, resolving scheduling conflicts, and coordinating meetingsServe as a primary point of contact between the AVP and internal and external stakeholdersCoordinate logistics for meetings, conferences, and events, including scheduling, agendas, presentation materials, catering, supplies, and follow-upPrepare, organize, and distribute meeting materials, reports, presentations, and other documentsPrepare agendas and record meeting minutes when appropriateManage travel arrangements and coordinate related logisticsPrepare expense and mileage reportsDraft and format correspondence, memos, reports, presentations, and other professional documentsDesign and edit PowerPoint presentations and other executive-level materialsCollect, organize, and prepare information for meetings with staff and external stakeholdersMaintain accurate contact lists and administrative recordsMonitor upcoming commitments and proactively communicate priorities and follow-up items to the AVPAnticipate the AVP's needs in advance of meetings, conferences, and other engagementsExercise sound judgment when determining how to prioritize and respond to requestsHandle confidential and sensitive information with discretion and professionalismBuild and maintain strong working relationships with internal and external stakeholdersAssist with special projects and organizational initiativesProvide additional administrative support as needed to support the overall goals of the organizationQualifications include:5–7 years of administrative assistant, executive assistant, or related administrative support experienceSignificant experience supporting senior-level managers or executivesHigh school diploma required; college experience strongly preferredAdvanced proficiency with Microsoft Office SuiteStrong proficiency with Microsoft Word, Excel, PowerPoint, and OutlookExperience creating and editing professional presentations and business materialsExcellent written and verbal communication skillsExceptional organizational skills and attention to detailStrong professional judgment and problem-solving abilitiesProfessional and polished when interacting with senior executives and diverse stakeholder groupsStrong interpersonal and relationship-building skillsAddison Group is an Equal Opportunity Employer.
