Administrative Assistant 1The Administrative Assistant 1 will handle routine and advanced duties for the Deputy Director, State Operations Region 5, Metro District. This position will be based in Bronx, NY, but will also provide coverage in the Manhattan office, as needed.Duties include:Provide front line support to Deputy Director of State Operations, department staff and to stakeholdersOrganize files, create correspondence, prepare reports and documents, manage calendars, schedule appointments, sort mail, prepare invoices and offer general staff supportCoordinate/schedule conferences, meetings, or special eventsGreet visitorsCoordinate and attend meeting as requested by the Deputy Director with the goal of composing and distributing agendas and meeting minutesUse Microsoft Office (including TEAMS, Word, Excel, PowerPoint and Outlook) to accomplish assigned tasksAssist with correspondence and related tasks as neededPerform general office duties (including operating, printers, scanners, and copiers, answering phones), and arranging repairs when equipment malfunctionsOther duties, as neededMinimum qualifications include:Administrative Assistant Trainee 1: Six months of experience in administrative supportAdministrative Assistant Trainee 2: One year of experience in administrative supportAdministrative Assistant 1: Two years of experience in administrative support, or certification or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technologyAdditional comments include:This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)Employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status within one year of permanent appointmentPreference will be given to OPWDD employees impacted by closuresAll OPWDD employees must be eligible and maintain eligibility for full and unconditional participation in the Medicare and Medicaid programsEmployees on long term leave can bid on positions but must be able to report to work within fourteen (14) days and be able to perform the essential functions of their positions with or without reasonable accommodation (RA)
