Administrative and Budget Coordinator

Pay Range: $24.74–$27.58 per hour DOQ
The City of O'Fallon is seeking a detail‑oriented, organized, and customer‑focused Administrative and Budget Coordinator to join our Parks and Recreation Department. This role plays a vital part in supporting department operations by providing administrative, budgeting, and purchasing assistance across multiple divisions, including Parks, Landscape, Facilities, Recreation, Renaud Center, Tourism, and Festivals.
nKey Responsibilities

- Serve as the initial point of contact for customer inquiries and concerns. n
- Assist with preparation, tracking, and review of departmental budgets; attend all budget meetings. n
- Research and compile financial data to support monthly budget reviews and annual budget development. n
- Monitor and record expenditures for Parks and Recreation operations. n
- Code invoices, reconcile purchasing card statements, and ensure compliance with City purchasing and financial policies. n
- Maintain electronic files and databases, creating new systems as needed. n
- Support development of purchase orders, ordinances, resolutions, and memoranda. n
- Oversee uniform orders, supply orders, inventories, and shipping/receiving processes. n
- Coordinate meetings, training sessions, travel arrangements, and scheduling of mosquito control services. n
- Assist with employee onboarding and offboarding processes. n
- Draft and prepare correspondence, reports, manuals, and brochures. n
- Create and edit work order requests. n
- Perform additional duties as assigned. n
Required Knowledge & Skills

- Knowledge of modern office practices and procedures. n
- Familiarity with city payroll processes. n
- Understanding of customer service standards. n
- Knowledge of purchasing, budgeting, and financial policies. n
- Understanding of accepted accounting principles, including governmental accounting. n
- Basic mathematical skills. n
- Proficiency with computers and job‑related software. n
- Strong communication skills and the ability to work effectively with the public. n
Minimum Qualifications

- High school diploma or GED required. n
- One to two years of relevant administrative, budgeting, or financial experience, or completion of an internship/apprenticeship in a related field. n
