Administration Executive AssistantWe are seeking an Administration Executive Assistant to support our office operations, providing a variety of routine and occasionally some complex administrative, clerical and technical work in assistance to the County Administrator and supporting staff; performing day-to-day tasks necessary to ensure accurate and timely performance of duties.Essential Functions:Prepares routine and/or non-routine letters, agenda, memoranda, forms and other correspondenceTypes, proof reads, assembles and distributes agendas and agenda packets for County Commission and other meetingsRequired to set up and tear down Commission meetings, Department Head meetings and other special work sessionsPrepares purchase orders and does vendor researchMaintains inventory and ordering of office suppliesMaintains credit card accounts and correspondence with credit card company for Administration, H.R. and CommissionersMaintains bidding, ordering and tracking of paper supply for all County DepartmentsAssists with research for annual budget preparation and assembles budget packets for budget workshopsPrepares and distributes monthly County Commission calendarDistributes mail to the County Administrator, Human Resources staff and County CommissionersTypes documents for legal publications and new releasesMaintains the appointed Board book and the application process for those BoardsMaintains, updates and initiates any changes necessary with Seward County insurance policies, as directedCoordinates scheduling for appointments, meetings, conferences, etc.; makes travel arrangements; confirms appointments and/or reservations, as requiredReceives and screens calls, mail and visitors; responds to inquiries and initiates fact-finding to resolve issues of a non-routine natureUpdates and maintains official Seward County website and Facebook pageEnforces and maintains compliance with all federal, state and local laws and ordinancesPerforms other duties as assigned or deemed necessaryComplies with all organizational and departmental policies and proceduresOperates all job-related equipment, machinery, tools and other aids as required or neededProtects and maintains any confidential information you have access to, whether oral, written, or electronicQualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
