Admin Asst - AP/CounselorHourly pay range minimum is $17.05; pay based upon experience; will work 7.5 hours daily, normally work 205 days annuallyPrimary PurposeUnder moderate supervision provide routine clerical support for the efficient operation of the assistant principal/school counseling team and professional staff. Maintain current and accurate confidential student records.QualificationsEducation/Certification:High school diploma or GEDSpecial Knowledge/Skills:Knowledge of general office proceduresProficient keyboarding and file maintenance skillsAbility to use software to develop spreadsheets and databases, and do word processingAbility to follow verbal and written instructionsAbility to perform a variety of tasks often changing assignment on short notice with some directionEffective organizational, communication, and interpersonal skillsExperience:3 years secretarial experience preferredMajor Responsibilities and DutiesRecords, Reports, and CorrespondenceProvide general clerical support including word processing, data entry, filing, and file maintenance.Assist with the registration of new students, including requesting and sending student records, entering student data, and ensure completeness of records.Process changes and adjustments to student schedules and discipline records.Maintain complete and accurate student records including test scores and final grades on permanent records.Compile, maintain, and file all reports, records, and other documents as required.Maintain confidentiality of student records, discipline, parent concerns, and conversations.Reception and PhonesReceive incoming calls, take reliable messages, and route to appropriate staff.Assist students, teachers, and parents as needed.Schedule meetings and appointments and maintain a calendar for the assistant principal/counselor team.Clear communication with staff, students, and parents to foster clarity, collaboration, and a positive environment.OtherReceive, distribute, and ensure security and confidentiality of testing materials.Maintain a college information library and help students, parents, and teachers find information about testing, scholarships, and college materials.Maintains confidentiality.Follow district safety protocols and emergency procedures.Supervisory ResponsibilitiesNoneMental Demands/Physical Demands/Environmental FactorsTools/Equipment Used: Standard office equipment including personal computer and peripheralsPosture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twistingMotion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reachingLifting: Occasional light lifting and carrying (less than 15 pounds)Environment: May work prolonged or irregular hoursMental Demands: Work with frequent interruptions; maintain emotional control under stressThe foregoing statements describe the general purpose and responsibilities assigned to this job and are not an exhaustive list of all responsibilities and duties that may be assigned or skills that may be required.
