Onsite Contract Office and Administrative Support Occupations

Position is responsible for administrative assistance of all aspects relating to Accounts Payable Department. Maintenance of orderly financial filing system, with focus on Accounts Payable documentation. Daily mail distribution and scanning of vendor invoices for PAT (Payables Approval Tracking) database entry. Assist with assembling financial data for bi-annual and annual overhead audits. Reviews and reconciles vendor statements, communicating with vendors and clients as needed. Assists with verifying the data-entry accuracy of vendor invoice or reports; identifies discrepancies and determines course of action. Under general supervision from Supervisor/Manager works within specific guidelines and protocols on assignments.
RESPONSIBILITIES
• Provides Accounts Payable administrative support for the Department by performing in specified daily activities including maintaining all Accounts Payable files, reconciling vendor statements, distribution of mail and other general duties assigned.
• Plans for and uses resources efficiently, always looks for ways to reduce costs and increase efficiencies.
• Serves as backup on other Accounts Payable tasks.
• Follows and adheres to all federal and state regulations, client requirements and contracts, and company policies and procedures including but not limited to taxes, labor laws, safety, building codes, or environmental regulations.
• Communicates information in a respectful and organized manner, produces written information that is appropriate for the intended audience.

Required Skills & Experience
• High school diploma or equivalent required.
• 1 - 2 years of accounting or AP experience working in an accounting department
Proficient skills with Excel, Word, and Outlook.
Nice to Have Skills & Experience
• Associates degree (A.A.) or equivalent from two-year College or technical school
