We are seeking an Accounting Specialist to join our small, close-knit finance team and work directly alongside the Vice President of Finance. This is an excellent opportunity for an accounting professional who enjoys digging into details, solving discrepancies, and understanding how the numbers connect rather than simply processing transactions.

The role will begin with foundational responsibilities such as data entry, order entry, invoice processing, and learning our systems and business model. As your knowledge grows, you will take on increasingly investigative accounting responsibilities, including researching transactions, identifying discrepancies, and working directly with manufacturers and business partners to reconcile what is owed.

This is not a traditional high-volume AR or collections position. Our revenue is generated through commissions associated with the manufacturers it represents, so the accounting process requires someone who can investigate the details behind each transaction, ask thoughtful questions, and follow an issue through to resolution.

Key Responsibilities:

• Perform general accounting functions, including data entry, invoice processing, account reconciliation, and other accounting support.
• Enter and maintain accurate order information within internal MRP systems and QuickBooks.
• Research transactions, invoices, orders, and commission information to identify discrepancies or missing payments.
• Review what we expect to receive from manufacturers and proactively follow up when amounts do not align.
• Communicate directly with manufacturers and business partners by phone and email to clarify discrepancies, confirm payment details, and resolve outstanding questions. (70% emails, 30% phone calls)
• Investigate the root cause of discrepancies and determine whether an issue originated from order entry, internal processes, or the manufacturer.
• Maintain detailed and accurate records throughout the reconciliation process.
• Utilize QuickBooks, Excel, and internal MRP systems to research and track financial information.
• Gradually assume additional accounting responsibilities as knowledge of the business and systems develops.
• Handle sensitive financial and company information with a high level of discretion and confidentiality.
• Work closely with the VP of Finance and know when an issue requires escalation while independently resolving routine questions and discrepancies.

What We're Looking For:

• Previous accounting experience with hands-on QuickBooks experience required.
• Strong Excel skills and the ability to learn proprietary systems and processes.
• Highly analytical and naturally inquisitive, you enjoy figuring out why the numbers do not match and finding the answer.
• Strong attention to detail with the ability to spot inconsistencies and connect information across multiple sources.
• Comfortable communicating by phone with customers, manufacturers, vendors, and internal teams.
• Patient and persistent when researching an issue and willing to follow a discrepancy through to resolution.
• Able to distinguish between an internal data-entry/process issue and an issue originating with an outside partner.
• Strong organizational skills and the ability to manage confidential information appropriately.
• Dependable, steady, and comfortable growing into a role over time.
• Someone who takes ownership of their work and can work independently without needing constant direction.
