We are seeking an Administrative Assistant that provides essential administrative and clerical support for licensing, enforcement, and survey processing programs. The primary responsibility involves accurately saving survey data and forms, ensuring timely and precise data entry into federal databases to meet established performance standards. The role also requires strict adherence to data retention plans for all public and confidential records.
Essential Duties and Responsibilities:
• Data Entry: Enter survey data from federal recertification kits into the designated federal database system.
• Documentation: Save final survey reports (including approved plans of correction) using established naming conventions to the appropriate survey events.
• Administrative Support: Perform standardized clerical and secretarial procedures to support daily operations.
• Reporting: Prepare standardized correspondence and reports as required.
• Communication: Strong ability to communicate effectively both orally and in writing.
• Organization: Proven ability to multitask, prioritize, and coordinate work to ensure all deadlines are met.
• Attention to Detail: Absolute accuracy is essential to maintain program integrity.
• Problem-Solving: Ability to troubleshoot issues to minimize delays and handle inquiries from a wide variety of people with professionalism.
• Confidentiality: Must be capable of maintaining the strict confidentiality of sensitive documents, including surveys, complaint information, and medical records.
• Physical Effort: Ability to perform general office activities, including lifting files and reaching/bending access storage.
Technical Skills:
• Working knowledge of information technology equipment (computers, printers, scanners, copiers).
• Proficiency in standard office software (Word, Excel, Outlook).
• Ability to learn and utilize specialized software applications and program-specific database systems.
Required / Desired Skills
• Working knowledge of and ability to operate various information technology equipment; such as computers, printers, scanners and photocopiers. Required - 1 Years
• Working knowledge of and experience with basic computer programs (e.g. Word, Excel, and Outlook) Required - 1 Years
