Heavy Equipment Service Writer

Pay: 58k-65k

Location: Waterloo IA and Brewerton NY open

Relocation Assistance: possible

NOTE: To be considered for this position, we require minimum 3 years (recent) experience in a SERVICE WRITER role WITH any of the following: automotive, rental equip company, diesel engine company, HD truck company, agriculture equipment co, heavy equipment dealership or closely related diesel equipment co.

Role Overview
As a Heavy Equipment Service Writer, you are the essential link between our customers and the service department. You will translate complex mechanical or technical issues into clear terms for clients, provide accurate cost estimates, and manage the workflow to ensure construction rental machinery is repaired efficiently and effectively.

Core Responsibilities

Customer Liaison: Act as the primary point of contact; greet customers, gather detailed equipment symptoms, and provide professional technical advice.
Work Order Management: Create and maintain detailed work orders within the shop management software, ensuring all technician notes and labor entries are accurate and timely.
Estimating & Invoicing: Build comprehensive repair estimates (parts, supplies, and labor) and secure customer approval before work begins.
Scheduling & Workflow: Coordinate with shop leadership and technicians to schedule shop and mobile repairs, prioritizing tasks to meet strict deadlines.
Warranty Administration: Verify warranty or service contract coverage and manage the submission and processing of claims with OEMs.
Parts Coordination: Partner with the parts department to verify component availability and order necessary items for active repairs.
Key Requirements & Qualifications

Education: High School Diploma or equivalent required; a 2-year technical degree in industrial, construction or agricultural equipment is highly preferred.
Experience: 3+ years of experience in service writing role
Technical Knowledge: Basic understanding of diesel engines, hydraulics, electrical systems, and heavy-duty repair procedures
Team Collaboration: will work closely with service manager and parts department assuring accurate service tickets are created
Mechanical Communication: Be able to communicate clearly and have basic understanding mechanical failures when discussing with customers and writing service tickets.
Software Skills: Proficiency in Microsoft Office and experience with dealership management systems
Additional Required

Exceptional communication and conflict-resolution skills.
Strong organizational ability to manage multiple high-priority repair jobs simultaneously.
A "customer-first" mindset with a focus on transparency and reliability.
Physical Demands: Must be able to lift up to 50 lbs and safely navigate active shop floors and equipment yard year round.
