Project & Portfolio Management Specialist Job Description
We're looking for a highly skilled Project & Portfolio Management Specialist to join our team and support the global internal audit business unit of a Fortune 50 Financial Institution. In this role, you will work closely with the Chief of Staff of a Business Unit to drive operational excellence and strategic alignment across a diverse, global team. You'll be instrumental in coordinating action items, tracking commitments, and improving our project management practices to enhance efficiency and transparency.

This is a hands-on position for someone who thrives on creating structure and clarity within a critical function like internal audit. You'll be a key player in ensuring that our initiatives, from individual audits to our full portfolio, are executed effectively and that progress is clearly communicated to leadership.

What You'll Be Doing:
* Project & Portfolio Management Governance: Serve as the central point of contact for tracking action items and commitments across global internal audit teams. Ensure stakeholder alignment and accountability while managing project governance and maintaining quarterly functional inventories.
* Knowledge Management & Repository Stewardship: Establish and maintain a centralized Confluence repository to support cross-functional collaboration across diverse teams managing business operations and PMO initiatives. Ensure documentation standards, accessibility, and organizational knowledge continuity.
* Technical Requirements & Backlog Management: Maintain the technology efficiencies backlog by centralizing intake requests, governing the prioritization process, and serving as a business analyst liaison to the technology organization to translate business needs into actionable technical requirements.
* Reporting & Data Management: Build and maintain comprehensive rollup reports and dashboards using Smartsheet and other tools. Automate and connect Smartsheet instances to minimize team overhead, and provide leadership with real-time insights into project status and KPIs. (Note: Smartsheet expertise is a plus, but quick learners can get up to speed in days using YouTube or the free 30-day trial.)
* Strategic & Operational Support: Assist the Chief of Staff with meeting preparation and presentations by synthesizing complex project data into actionable summaries. Manage operational tasks including tech strategy documentation, branding updates, Excel-based insights, shared calendars, and team vacation tracking.
* Meeting & Communication Facilitation: Coordinate operational cadence logistics including meeting minutes (COO Weekly, Leads meetings), agenda management, and data compilation for Business Reviews. Lead weekly agenda coordination for the Business Unit Manager and Core team.
* Relationship Management: Build strong relationships with stakeholders from technical teams to senior leadership to ensure request reliability and project success. Support training initiatives and coordinate team engagement activities.

* Seasoned Professional: Proven track record managing projects and portfolios in complex, global organizations with the ability to juggle multiple priorities with diligence and ownership.
* Project Management Tools Expertise: Extensive experience with Smartsheet, Confluence, and reporting platforms. Ability to build insightful dashboards and documentation systems that drive clarity and action.
* Internal Audit Domain Knowledge: Experience supporting internal audit teams with understanding of function-specific challenges and processes.
* Exceptional Communication & Relationship Skills: Natural communicator who engages effectively across all levels. Strong executive presentation skills and ability to build relationships that ensure long-term reliability.
* Proactive & Adaptable: Self-starter who anticipates needs and thrives in dynamic environments. Pragmatic problem-solver comfortable managing everything from reorg PMOs to team hiring support.
