Primary Duties and Responsibilities:
The McAninch Arts Center (MAC) Business Manager manages all business functions of the MAC, maintains sound fiscal management of the organization, and assures all financial processes and goals are met according to the annual plan. The position is the liaison with all College divisions, particularly the College Business Affairs and Finance Offices, in all areas, including payroll, payables, receivables department budgets, and accounting functions.

  • Develop, prepare, and manage budgets (18 individual departments totaling $5 million in expenses) for the MAC while keeping the Director informed of budgetary and fiscal issues.
  • Authorized budget officer and signer to process and approve all MAC invoices, vouchers, budget transfers, internal charge-backs, staff services requests, and other departmental documents.
  • Analyze, report and make recommendations on expenditures and revenues in order to identify cost savings measures and revenue increases with the purpose of meeting departmental profitability goals.
  • Manage all accounting record-keeping (QuickBooks) for the MAC required to prepare cost accounting and profit reports.
  • Manage QuickBooks entry and audit process for every Departmental transaction against College financial system.
  • Assure financial goals are met through monthly MAC ledger preparation and audits.
  • Administer the month-end close and year-end process.
  • Implement and enforce all purchasing and financial policies and procedures to 15 managers and 60 plus independent contractors/part-time staff.
  • Manage all MAC payables, including budget transfers to accommodate purchases, purchase/blanket orders, vouchers, Chrome River, independent contractor forms, Resident Company payroll, and vendor adds.
  • Manage all accounts receivables functions, including rental invoices and deposits. maintain Unrelated Business Income Tax invoices and other information with College Finance Office.
  • Mange and execute all touring artist contracts and riders.
  • Handle all artist deposits, payments, and bonuses as required by contract.
  • Prepare and approve Grant Financial documents (applications and final reports) and work collaboratively with Finance Office grant representative. Manage all grant spending for MAC and Performing Arts groups.
  • Manage regular full-time and part-time employees.
  • Communicate College protocols and procedures to staff and faculty.
  • Complete MAC special projects as delegated by Director.
  • Manage transfers from the foundation and spend from donation accounts
  • Manage and help to prepare budget reports related to spending limits per college policy
  • Process weekly revenue distribution to Buffalo theater ensemble based on sales and expenses
  • Process and monitor marketing credit card expenditures
  • Other duties as assigned.

    Qualifications:

    • Education
      • Bachelor's Degree or equivalent experience required.
        • Experience
          • Three years in accounting, bookkeeping, business administration/management, or arts/education required.
          • Three to four years administrative experience in arts or educational business administration preferred.

            Working Conditions:

          • Computerized box office; office machines, computer with MSOffice Suite and College purchasing and accounting management software such as Quickbooks.
          • Pleasant, non-smoking office.
          • Maintain regular office hours, available to staff and faculty calls, regular interaction with people, some evenings or weekends may be required.
          • This position requires a background check and drug screen.

            Hiring Range:
            Managerial 5 Salary/66,500.00 - 70,000.00
